Office/ Events Assistant

Description:

If you have office skills or are looking for an entry role into the world of events, this role could be for you! We are looking for a competent office assistant who is able to hit the ground running in our busy office environment. As a small sales team, working in an open-planned office you will be liaising closely with everyone in the SXS team but reporting to the General / Logistics Manager assisting her with the day to day running of the office. You will be solely responsible for managing the incoming correspondence, answering calls and emails and directing them as appropriate. You will need to be confident answering the phones, speaking to suppliers, colleagues and clients, and able to take detailed enquiries. You will also assist the sales team with research where required and help with general data input using our cloud based software. Your daily role will include:

  • Manage incoming correspondence by answering phones and emails
  • Taking detailed events enquiries, and passing them on to the sales team
  • Data entry using our cloud based booking system
  • Assist the Logistics and General Manager with accounting queries and general admin
  • On occasion, liaise with the company bookkeeper
  • Greeting client’s when they come to the office
  • Setting up the meeting room for when clients / suppliers visit
  • Answering the door / signing for deliveries
  • Take meeting minutes
  • Saving event photos on our intranet
  • Assisting with logistics planning and covering for the Logistics Manager when she is on annual leave
  • Assist the Logistics Manager with booking transport, hotels and crew
  • Ordering Stationary
  • Assisting the team with research for events / and creating quotes
  • Get quotes for services
  • Schedule meetings
  • Daily cleaning of the office / meeting room
  • Assisting with IT issues / Liaising with our IT contractor
  • Getting quotes for freelancers and crew
  • Sorting through Post

Desired skills (but not essential)

 

  • Events knowledge / or an enthusiastic interest for the industry
  • Looking for an entry level events position
  • A background in HR, Office Admin, Finance
  • Knowledge of CAD programmes (such as Sketchup)
Pre-Requisites:
  • Knowledge of how a successful office operates
  • Competent knowledge of all Office suite software (Word, Excel, Publisher, Adobe)
  • Confident on the phone and writing coherent emails
  • Ability to multitask
  • A basic understanding of the events industry
  • Quick at picking up new systems
  • Able to grasp cloud based software
The Kit:

SXS provides all equipment needed for the role.   However, the candidate must have a valid UK driving license and means of transport

The Location:

Bristol

Basis of the Role:

Full-time, Bristol-based.

Pay:

Salary is based on past experience and skills.  Pay is made up of base salary, overtime for site work and bonuses. 

Progression:

Endless. As you will be at the front line of production design you will be able to define concepts and be part of our strategy to get new work and new clients on board.
